Calendar Shadowing

What it does

Calendar Shadowing lets you view another warpSpeed user's calendar alongside your own. You send them a request specifying which of your calendars to share in return. Once both parties agree, each can see the other's events in their own calendar view.

How to use it

Sending a Calendar Shadowing request

  1. Open the Calendar Side Menu (hamburger icon, top-left of the calendar).
  2. Tap Calendar Shadowing.
  3. The Shadow a calendar screen opens.
  4. In the Search by name field, type the name or email of the warpSpeed user you want to shadow.
  5. Select the user from the search results. Their name and email appear as a chip.
  6. Under "Select my calendars to share", check the calendars you want to give them visibility into.
  7. Tap Send Request.
  8. A confirmation notification appears: "Calendar Shadowing request sent".

Receiving a request

When another user sends you a Calendar Shadowing request, you'll receive a notification. Accept or decline from within the calendar; the other user's calendar is then visible on your calendar once accepted.

How shadowed calendars appear

  • Shared events from another user's calendar appear in your calendar view with a distinct visual indicator (their profile picture or initials overlaid on the event block).
  • Shadowed events use the Shadow Default colour scheme (muted grey/purple), separate from your own calendar colours.
  • You cannot edit another user's events; shadowed events are read-only.

Managing shadowed calendars

  • Tap Shared Calendars in the Calendar Side Menu to see all active shadowing relationships and manage settings.
  • To stop shadowing a calendar, open the shared calendar settings and remove the connection.

Error states

  • If you try to shadow a calendar you already shadow, you'll see: "You are already shadowing this user's calendar."
  • If the request fails for an unknown reason: "Oops! Something isn't quite right, please contact our support."

Tips & shortcuts

  • Calendar Shadowing is mutual by design, when you request to shadow someone, you must also specify which of your calendars to share with them.
  • Shadowed events are filtered out of your own calendar colour scheme (they always appear with the Shadow Default colour) so you can distinguish your events from shared ones at a glance.
